How to upload a stock consignment

Ok, so you've added all your products and now you are ready to upload your first stock consignment.


But before we begin, here is some helpful terminology:

  • Product box - is the box that a single product is packed in.
  • Stock box - is the box that product boxes are packed into, this is what will be on the shelf.
  • Shipping box - is the box that stock boxes are sent to the distribution centre in.

Now, depending on what you are uploading you have a few different options.  

If you are sending one type of product, follow the steps for Single Product Consignment.  If you are sending different products in one shipment, please see Mixed Product Consignment.

Single Product Consignment



To begin, click "Inventory" and select "Send Single Product" from the top bar.


This is for sending either one BOX or one PALLET of only ONE type of product.



Product:


This is the product you will be sending.  This is a drop down list of your already uploaded products, select the relevant product.  If you need help with this please see How to Add Products.


SKU:


An SKU is only needed when multiple products share the same EAN, such as different colour variations of the same product. If this is not needed it can just be left blank.


Pallet (checkbox):


This is used to determine if you are sending either a:

  • Single PRODUCT Box Consignment - a single SHIPPING box of STOCK boxes 
  • Single PRODUCT Pallet Consignment - a pallet of boxes of PRODUCTS (tick box)

The process then differs whether the "Pallet" box is checked.  Depending on your selection, follow the relevant steps below.

Single Product Box Consignment




For this the "Pallet" checkbox must be left unticked.

 

SHIPPING Box Height/width/depth (cm):


These are the dimensions of the SHIPPING box as a whole NOT the PRODUCT or STOCK boxes, these are all in centimetres. There is an exception if you are only sending a single STOCK box then this will count also as a SHIPPING box.

SHIPPING box weight (kg):


The total weight of the SHIPPING box your are sending us when fully packed with the products in it.


Print Own Labels/Print labels at Fulfilment Centre:


These options are mutual exclusive i.e. only one can be selected.


If you wish to label the boxes and items yourself select: "Print Own Labels".  If you would like us to label them at the distribution centre select: "Print Labels at Fulfilment Centre".


Stock Quantity:


This field will be filled in automatically as the multiplication of Box Quantity and Products Per Box checks this to make sure it matches up with how many products you are sending.


Box Quantity:


How many STOCK boxes will be in your SHIPPING box.


Please note: if you are only sending a single STOCK box then this will count also as a SHIPPING box and need to be labelled as both if you chose to print your labels at home.


Products Per Box:


How many PRODUCTS will be in one STOCK box.


Stock Box Height/Width/Depth:


The dimensions of a single STOCK box in centimetres.


Stock Box Weight:


The weight of a single STOCK box in KG. 

If you are sending multiple STOCK boxes within one SHIPPING box the SHIPPING box weight should be roughly equal to the STOCK box weight multiplied by the number of STOCK boxes.


If you are only sending one STOCK box as a SHIPPING box these should instead be equal.


Shipping Reference:


This field is for your own personal referencing.


Batch Number:


This is used for grouping products that were made together, which means that if a product needs to be recalled you can limit this to only a specific batch rather than every instance of that PRODUCT.


Expiry Date:


Normally we endeavour to use a First In First Out (FIFO) system.  If the PRODUCT has a limited shelf life we will instead send out the products with the earliest expiration date first.  If the product has no expiry date please leave this field blank.


Finishing Process

Once you have uploaded your consignment it will appear in the "Consignments" tab.  If you think something is wrong with the consignment you have 15 minutes to cancel the consignment before it is processed.


If you selected to attach the labels yourself these can be found under the drop-down menu "Downloaded Labels". There will be one label named "Inbound Stock Consignment" for the SHIPPING box, and number of "Stock Box" labels to go on each of the STOCK boxes on the Pallet.

  

Please note: if you are only sending a single STOCK box then this will count also as a SHIPPING box and need to be labelled as both.


Once this is done click the "Labels Affixed" button to confirm.


Single Product Pallet Consignment




When sending a Pallet of a Single PRODUCT the size of the pallet is standardised so shipping size is not needed.


Stock Quantity:


This field will be filled in automatically as the multiplication of Box Quantity and Products Per Box checks this to make sure it lines up with how many products you are sending.


Box Quantity:


How many STOCK boxes will be on your Pallet.


Products Per Box:


How many PRODUCTS will be in one STOCK box.


Stock Box Height/Width/Depth:


The dimensions of a single STOCK box. All in centimetres.


Stock Box Weight:


The weight of a single STOCK box in KG.

Mixed Product Consignment



To send multiple PRODUCTS, you will have to create a CSV.


The CSV template as well technical descriptions of all the datatypes can be found in the "Upload CSV" tab, as well as linked at the bottom of this page.


PLEASE NOTE: 

Each CSV represents 1 pallet, each line in the CSV is one Product. 

If you have different configurations of products i.e. 2 box of 7 and 1 boxes of 10 these will need to go on two separate lines.

STOCK  Pick from pallet products cannot be on the same CSV as NON-Pick from Pallet Products.

To minimise problems we highly recommend that if you are using Microsoft Excel for you CSV files that you format all columns to be "text".  The fields most likely to be affected by this are EAN and Expiry Date.


Name:


Name of PRODUCT; this needs to be a case sensitive match to a PRODUCT in your Products page.


EAN:


The unique identifier for your PRODUCT.  If the PRODUCT does not have a barcode use a SUID instead in the field below:


Selazar Unique ID (SUID):


An alternative unique identifier if the PRODUCT does not have it's own.


JAN: Not used, please ignore.


UPC: Not used, please ignore.


ISBN:


Unique identify for use only when shipping books.


MPN: Not used, please ignore.


SKUcode:


An SKU is only needed when multiple products share the same EAN, such a different colour variations of the same product. If this is not needed however, it can just be left blank.


GTIN:


A GTIN is a unique identify included as part of the stock box. Certain manufactures will have these printed on the boxes.

If you do not have GTINs on your boxes, do not know if you have GTINs on your boxes, or are not using boxes at all. Then please leave this column blank. 


StockCount:


This is the total number of products being shipped and should be equal to the number of STOCK boxes multiplied by the number of PRODUCTS per STOCK box.


BoxQuantity:


Number of STOCK boxes in consignment.


ItemsPerBox:


Number of Products per STOCK box.


Box Height/Width/Depth:


Dimensions of a single STOCK box in CM.


Box Weight:


Weight of a single STOCK box in KG.


Region:


Where the item was made, accepted values: "EU", "NA", & "JP".


Expiry Date:


If the PRODUCT has a limited shelf life this is when the product can no longer be picked to fulfil orders.


Batch Number:


This is used for grouping products that were made together, then if a product needs to be recalled you can limit this to only a specific batch rather than every instance of that PRODUCT.


Finishing Process


Once you have uploaded your consignment you will need to upload this via the "Send Mixed Product" tab on your portal by either drag and drop or clicking the "Browse" button.

If you have several pallets that are identical then use the "Repeat Consignments" drop down to select how many. If not then set this to "1".

Then select whether this is a pallet or not. (if it is deemed pick from pallet this will be set automatically), and set if you will be printing the labels yourself.

You can then enter a shipping reference and confirm the stock consignment.


It will then appear on the "Consignments" tab.


If you selected to attach the labels yourself these can be found under the drop-down menu "Downloaded Labels".  There will be one label named "Stock Consignment" that if for the Pallet, and number of "Stock Box" labels to go on each of the STOCK boxes on the Pallet.

If you selected to not print your own labels you will still need to include the Stock Consignment label, and then the stock box labels will be printed once the stock has reached the warehouse.


Once this is done press the "Labels Affixed" button to confirm.
